Administrator
The Administrator will provide a friendly and efficient service in response to Innovate UK Business Connect enquiries, whether by phone, e-mail or face-to-face, and ensure the day-to-day running of our London office. This Administrator position contributes to and supports the organisational objectives of Innovate UK Business Connect by coordinating Directorate’s functional activities, including meetings and travel. You will work collaboratively across multiple sectors and teams to deliver excellent administrative support across the organisation.
This role is based in our office in the Business Design Centre in Islington from Monday to Friday (37.5 hours per week).
Roles & Responsibilities
General Administration
- Diary management and general administration support
- Coordinate, manage and record team meetings
- Support other team members where necessary, e.g. booking travel
- Organise team cross-company meetings as required
- Develop and maintain relationships across Innovate UK Business Connect and external stakeholders
- Work with internal stakeholders and third-party suppliers maintaining health and safety training, audits and compliance
- Contribute to continual improvement of the functional activities
- Assist wider Business Support Team when extra admin resource required
- Provide holiday or sick cover for other Administrators
Office Administration
- Meet and greet visitors to the London office and direct them to their host/meeting room
- Handle telephone, email enquiries, and online enquiries, provide information about company services where necessary, log enquiry details on CRM, transfer to relevant colleagues and ensure effective follow up
- Update business contacts on CRM
- Maintain key statistics on the number and nature of enquiries and response rates
- Manage meeting room bookings, requiring interaction with both internal and external executives and assistants, stakeholders and clients to coordinate a variety of meetings
- Ensure a/v equipment in meeting rooms is in working order and troubleshoot any requests for help
- Facilitate office mailing, couriers and order receiving
- Manage supply ordering, stocking and purchase requests relating to office supplies
- Manage inventory of company equipment held in the office
- Day to day upkeep and tidiness of the office environment
- Contribute to Innovate UK Business Connect’s Health and Safety policies and procedures
Experience & Skills
Essential Experience
- Strong administrative experience supporting a matrixed business environment
Desirable Experience
- Understanding/awareness of data protection
- Experience in coordinating Health & Safety function in remote organisation
Skills
- Extensive IT Skills (Microsoft Office)
- Ability to manage multiple priorities across different teams in parallel
- Strong communication skills
- Strong interpersonal skills and the ability to communicate confidently and build effective relationships with staff at all levels
- Team player with good relationship building and influencing skills; enjoys working in a collaborative manner in an open, honest, and diverse environment
